Full DB Export

The following will walk you through the process of exporting the entirety of what has been imported into your database.

Create Your Export Template

Go to your settings tab and then export/exchange. Scroll down to Export Templates and "+Create New". Full_Export_Template_Step_1.png

In Step 2 - Files, ensure you include text, images, and natives. You will likely want tiff/jpgs and an image load file to go along with it. Hit "No Exceptions" for natives - having "smart exceptions" will prevent natives from exporting for any documents that have highlights and/or redactions. Full_Export_Template_Step_3.png

In Step 3 - Naming, we suggest using a control number for an export (ie NXP000000001) to easily locate documents based on their placement and because your load file will already include all of the other possible metadata. Full_Export_Template_Step_4.png

In Step 4 - Load File, hit "create new", name it, and then hit select all. Scroll down to "Extracted Metadata" and uncheck this box; keeping it in will add unnecessary rows to your load file and throw the formatting out of whack. Full_Export_Template_Step_5.gif

Folder All Documents

Once your export template has been created, the entirety of the documents should be moved into one folder so you can run the export on all of the files at once. To do so, type * into the searchbar - this will populate all of your documents. From there, select all and then hit "Bulk Actions". Full_Export_Step_6.png

Create a new folder and opt to add all documents to this folder. More importantly, consider how you want the documents to live in this new and final folder. Likely, you will want the order to be Date & Family, though you can opt only for Family or even the current sort order if you've no preference. Then select update and wait while the files are moved to this folder. Full_Export_Step_7.png

Finalize and Initiate Export

Check for indexing warnings!

One thing to check prior to running your export is the yellow triangle next to the search bar. If documents in your database have failed to index, they will NOT exist in your export folder and will NOT be exported.

If you have confirmed the index is up to date, you are ready to initiate your export. Next to the folder name, hit the three-dot menu and "export". Name your export, select the appropriate template you have created for this, and hit export.
