How To Set Up a Litigation Sandbox

The steps below will walk you through the process of setting up a Litigation Sandbox within Nextpoint:

1. Import the Production Set

Step 1: Start Import

  • Go to the “Production Sets” folder in your File Room.

  • Locate “ABCRR Prod 01” and click the blue Import button.

Step 2: Import Data Settings

  • On the Import Data Settings page:

    • Set Type of Import to: Production with load file

    • Name the batch something identifiable (e.g., ABCRR Prod 01)

    • Skip the Custodians field for now (you’ll handle this later)

    • Click the plus (+) next to Folder, name it ABCRR Prod 01

    • Turn Deduplication and DeNIST Detection OFF

    • Click Next

Step 3: Field Mapping

  • Confirm or update the field mapping as follows:

    • Bates_startBates_start (click gear icon to validate)

    • Bates_endBates_end

    • Document Date, Document Type → Auto-map

    • Begattach, Endattach → Auto-map (these are your fields for family linking so it’s important to leave these as they are)
    • Email_author through Email_receivedAuto-map

    • EmailMessageID → Create a custom field

    • Custodians through TitleAuto-map

    • Witnesses → Map to a custom field with picklist (click Done when prompted)

    • Native_File → Auto-maps to Native File; click gear and select native folder

    • Text_File → Auto-maps to Text File; click gear and select text folder

  • Click Import to proceed to the Batch Summary screen.

🔁 Repeat the same steps for: “Thompson Prod 01”

2. Import Deposition Transcripts and Media

Step 1: Import Transcript Text

  • Go to the “Deponents” tab

  • Click blue Import Files button (top right)

  • Choose NP File Room

  • Navigate to: Deposition Transcripts > Chaudoin, Logan > Transcripts

  • Check the box for the .txt file and click Import (leave setting as “Determine Automatically”)

Step 2: Import Video

  • On the Deponents tab, click the gear icon next to the transcript

  • Scroll down and click “Import Video”

  • Navigate to: Deposition Transcripts > Chaudoin, Logan > Media

  • Check the box for the .mp4 file and click Import Video

Step 3: Import Sync File

  • Click “Import Syncfile”

  • Navigate to: Deposition Transcripts > Chaudoin, Logan > Media

  • Check the box for the .dvt file and click Import Syncfile

Step 4: Create Presentation Video

  • Once processing finishes, click Create Presentation Video

  • This stitches transcript and video, enabling timestamped clips

🔁 Repeat these same steps for: Sieker transcripts

3. Create Designations and Import Bulk Designations

Step 1: Set Up Designation Types

  • Navigate to: More > Settings > Transcripts menu

  • Click the green “Create New” button

  • Create designations:

  • Name: Plaintiff Initial → Pick a color → Click Create

  • Name: Defense Initial → Pick a color → Click Create

Step 2: Download Designation Files

  • Go to the File Room > Bulk Designation Import folder

  • Download the .csv designation files to your local computer

Step 3: Import Designations into Transcript

  • Go to: Deponents > Chaudoin, Logan transcript

  • Click on Volume I

  • On the right sidebar, click Bulk Clip Import

  • Choose Defense Initial (or Plaintiff Initial as appropriate)

  • Click Select, choose the appropriate .csv file, and click Import Clips

🔁 Repeat for Sieker transcript, importing both Defense and Plaintiff designations

4. Add Facts, Issues, and People

Step 1: Add Facts

  • Navigate to the Chronology tab.

  • In the Facts sub-tab, click Create New and enter:

Fact Start Date End Date (if applicable) Time Notes
Sieker promoted to train conductor 2/5/2024 Check “Approximate”
Thompson leave of absence 4/1/2025 5/20/2025 4:00 PM → 12:00 PM “Thompson’s work leave due to injury, dates confirmed by his HR department.”
Thompson’s vehicle collides with ABC Railroad train at Foster and Ravenswood 4/1/2025 4:30 PM
Hospital stay 4/1/2025 4/30/2025 5:30 PM → 12:00 PM

Click Save after entering each fact.

Step 2: Add an Issue

  • Go to the Issues tab.

  • Click Create Issue and name it: Recklessness

  • On the right, associate the fact:
    “Thompson’s vehicle collides with ABC Railroad…”
    Then click Save.

Step 3: Add People and Link to Facts

Go to the People tab and add the following:

Person 1: Eric Sieker

  • First Name: Eric

  • Last Name: Sieker

  • Abbreviated Name: ES

  • Role: Add new → Conductor - ABC Railroad

  • Type: Add new → Defendant

  • Email: esieker@abcrail.com

  • Associate the facts:

    • “Sieker promoted to train conductor”

    • “Thompson’s vehicle collides with ABC Railroad…”

Click Save Changes

Person 2: Logan Chaudoin

  • First Name: Logan

  • Last Name: Chaudoin

  • Abbreviated Name: LC

  • Role: (leave blank)

  • Type: Add new → Witness

  • Email: (leave blank)

  • Associate the fact:

    • “Thompson’s vehicle collides with ABC Railroad…”

Click Save

Step 4: Link Documents via Search

  • Go to the Documents tab.

  • Run this search:
    Witnesses:"Sieker, Eric"

  • For the first three documents:

    • Open the document

    • Go to Case Connections

    • Select:

      • Fact: “Thompson’s vehicle collides...”

      • Person: “Eric Sieker”

    • Click Save and Next

Step 5:  Repeat for Witness Logan Chaudoin

  • Run this search:
    Witnesses:"Chaudoin, Logan"

  • In Case Connections > People, add: “Logan Chaudoin”

  • Click Save

Step 6: Add Key Document Tags

  • Run this search:
    bates_start:(Thompson_0000011 Thompson_0000012)

For Thompson_0000011:

  • Open document

  • Expand Hot Fields > Show Hot Coding Fields

  • Check the box: Key Document

  • Click Save

For Thompson_0000012:

  • Tag the document as Key Document

  • Under Case Connections > Issues, select: Recklessness

  • Click Save
