FAQ: How do I Put a Production in File Path Order While Keeping Families Together?

Follow

When preparing a production, you may want to organize documents according to their original file path while ensuring that parent documents and their attachments remain together. Nextpoint allows you to accomplish this by sorting your search results by file path and including document families when creating your production.

Follow the steps below to put your production in file path order while keeping related document families together.

Step 1: Search for Parent Documents

Start by searching for documents that are not attachments. Navigate to the Review page and enter the following search:

folder:"folder name" AND -is_attachment:true

This search returns documents within a folder with individual attachments excluded. By starting with parent documents, you can organize the results by file path without sorting each attachment separately.

Step 2: Sort Results by File Path

Once your search results are displayed, sort the documents by their original file path.

  1. Locate the File Path column in the Review grid.
  2. Click the column header to sort the search results by file path.
  3. Select all documents in the search results.
  4. Select Bulk Coding to add the selected documents to a folder.

This creates an organized group of parent documents that can be used to build your production in the desired file path sequence.

Step 3: Create Your Production With Families Included

After organizing your documents into a folder, use that folder when creating your production.

  1. Start a new production and select the folder containing the documents you organized in Step 2.
  2. Enable the Include Families option to ensure that related family members, including attachments, are included in the production.
  3. Under the production ordering options, select Family.

Important: Select Family order, not Date/Family order. Family order keeps parent documents and their associated attachments together while maintaining the intended file path sequence. Date/Family order applies an additional date-based sorting method and may change the sequence you established.

Review your production settings and proceed with creating the production.

Expected Result

Your production will follow the file path order established in the Review grid, with related document families kept together. Parent documents will remain in the intended sequence, and their associated attachments will be included alongside them rather than being separated from their parent documents.
