Search Hit Reports (SHRs) provide analytics on how search terms perform across your dataset — helping legal teams evaluate search strategies, estimate review scope, and understand their data early in a case.
Search Hit Reports are especially useful for:
- Document culling — Work through large data sets in high-volume cases by identifying which terms are hitting and how broadly.
- Search term negotiation and ESI reporting — Run terms against your data, iterate in real time, and exchange reports for court-mandated ESI protocols or opposing counsel review.

Create the Search Hit Report
Navigate to the Analytics tab. From there, select Search Hit Reports.
If this is your first time visiting the page, it will appear blank with a prompt to Create a report. Click this button to begin. Returning users will see their existing reports listed on the left.
A modal will appear where you can:
- Name your report.
- Select the search scope (All documents in the database or one specific folder).
- Click Create. Your new report will appear on the left side of the screen under Reports.

Rename an Export
You can change the name of a report at any time by clicking on the report and then selecting Rename in three-dot menu towards the top right.
Scope cannot be edited later
Once a report is created, the scope cannot be changed. If you need a different scope, create a new report and copy/paste your search terms into the new report.
Add Search Terms
After creating your report, begin building your term list. For supported syntax — including Boolean operators, wildcards, and proximity searches — see the Nextpoint Search Guide.
You can add search terms in several ways:
1. Quick Add Search Bar
Begin typing directly into the search bar to add individual terms.
2. Field Dropdown
Click Select Field to quickly apply search syntax and narrow results to specific metadata fields.
3. Bulk Add
Add multiple search terms or syntax in bulk by selecting Bulk add terms. Choose to add them either by copy/paste or by uploading a CSV or TXT file.
Edit & Delete Search Terms
To edit your search terms:
- Double-click directly on a term to edit it inline.
- For longer or more complex syntax, use the three-dot menu next to the term and select Update to edit in a larger window.
To remove a term, use the same three-dot menu next to the term and select Delete.
Run the Search
Once your terms are ready and free of syntax errors (errors are flagged inline in red), click the blue Run Search button in the upper-right corner.
You will receive an email notification when the report has finished running and is ready to view.
The report dashboard displays:
- Total documents searched
- Documents with at least one hit
- Direct hits and related family members
Report timing note
If changes are made to the database while the report is running, the report will reflect the database as it existed when the search began.
Download Your Report
Once ready, download your Search Hit Report as a CSV file by selecting Download in the upper-right corner.
Tag Files & Save Report
Once you're satisfied with your search terms and direct hit counts, you can save the report and initiate tagging. Select the three-dot menu in the upper-right corner and choose Tag files & Save Report.
You can verify direct hits by opening a document and reviewing the Search Hit Tags section on the right side of the document viewer.
Delete a Report
To delete an entire report, select the three-dot menu in the upper-right corner and choose Delete.
Warning: Tags will be removed
Deleting a report will remove any Search Hit Tags that were applied to documents for that report. This action cannot be undone.
